Photobooth Terms and Conditions
Payment Terms
Deposit
A deposit is required to reserve the event date and is non-refundable to the fullest extent permitted by law.
Remaining balance is due seven days before the event. For bookings made within 14 days of the event, full payment is due at signing and is non-refundable to the fullest extent permitted by law.
Balance
The remaining balance (total price minus $100 deposit) is due no later than seven (7) days before the event date.
Payment Methods Accepted
Accepted payment methods: Venmo and Square. A 2% processing charge applies to Square payments only and will be included in the total amount displayed.
Events Booked Under 14 Days Before the Event Date (Special Terms)
If your event date is fewer than fourteen (14) days away at the time of booking, the deposit requirement no longer applies.
Instead, full payment is due immediately upon booking.
All payments for events booked under 14 days are 100% non-refundable for any reason, including cancellations, rescheduling requests, or no-shows.
Rescheduling requests made under 14 days are not guaranteed and depend solely on availability. If a reschedule can be accommodated, a $100 rescheduling fee will apply. If a new date is not available, the payment remains non-refundable.
Cancellation and Rescheduling Policy
Cancellation 7+ Days Before the Event
To cancel:
All cancellation notices must be submitted in writing to admin@snapemporium.com. Verbal cancellations will not be accepted. 7 or more days before the event: No additional payment will be due. Your $100 deposit will be retained. If you have already paid the remaining balance, that amount will be refunded within ten (10) business days of your written cancellation notice. 4-6 days before the event: Your $100 deposit will be retained.
In addition, The Snap Emporium may charge up to 50% of the remaining balance for preparation costs. Any such charge will be communicated in writing within 48 hours. Within 3 days of the event: Your $100 deposit will be retained and the remaining balance becomes immediately due if not already paid.
Deposit Forfeiture (for cancellations less than 3 days)
If a client cancels less than three (3) days before the event, the 50% deposit is forfeited and the remaining balance is also immediately due, if not yet paid. This is because by that point, The Snap Emporium has already prepared and reserved everything for your event, and you have caused hardship on our scheduling with short notice.
Example:
Client cancels three (3) days before the event: They forfeit the $500 deposit and must pay
the remaining balance of $500.
Cancellation must be submitted in writing to admin@snapemporium.com to be effective.
Rescheduling Policy
If you need to reschedule your event, please notify us at least fourteen (14) days before the event.
Rescheduling is subject to availability and may incur an additional fee of $100 if the new date requires us to adjust our schedule.
Client Requirements
Client Must Provide
Client shall provide a clear, level, and safe workspace of at least 6 ft x 8 ft, access to one standard 120V power outlet within 25 feet, reasonable protection from weather if the event is outdoors, and parking/unloading access for equipment. Any parking fees, permits, or venue charges are the Client’s responsibility.
If these requirements are not met, The Snap Emporium may delay setup, modify service, or be unable to provide full service, and no refund will be owed for any resulting limitation caused by Client, venue, or guest conditions.
Technology & Service Disclaimer
The Snap Emporium cannot guarantee uninterrupted operation in situations beyond our control, including but not limited to venue power outages, Wi-Fi failure, unstable flooring, extreme weather, or guest interference.
No refunds will be issued for interruptions caused by conditions not provided or controlled by The Snap Emporium.
In cases of partial service interruption caused solely by The Snap Emporium's equipment failure, our on-site concierge will work to resolve the issue as quickly as possible. Interruptions of less than thirty (30) minutes will not qualify for a refund or credit. For interruptions exceeding thirty (30) minutes due solely to our equipment failure, The Snap Emporium will work with Client on a fair resolution, which may include a pro-rated credit at The Snap Emporium's discretion.
No Unauthorized Use of Equipment
Only staff of The Snap Emporium may operate or move equipment. The client is responsible for preventing guests—especially children or intoxicated individuals—from tampering with or misusing equipment.
Service Terms
Setup & Breakdown
Our photobooth setup requires approximately one (1) hour for setup and one (1) hour for breakdown.
Service hours are separate from setup and breakdown time. Setup typically begins approximately one hour before service, and breakdown requires approximately one hour after service ends.
Photobooth Availability
The photo booth will be available for use during the hours specified in your booking confirmation.
Additional Time
Extension requests must be submitted at least 48 hours before the event start time and are subject to staff
availability. Extensions cannot be guaranteed on the day of the event. An additional fee of $100 per hour will apply
for approved extensions.
Late Fees
Late Fees
Any payment not received by the applicable due date will be subject to a late fee of 5% of the overdue amount. An additional 5% of the overdue amount will be added for each full week the balance remains unpaid, not to exceed the maximum amount permitted by applicable law.
Limitation of Liability
Maximum Liability
The Company’s maximum liability for any breach of this agreement or any action related to the services provided will be limited to the total amount paid by the Client for the event.
Indirect Damages
The Snap Emporium is not liable for any indirect, incidental, or consequential damages, including but not limited to loss of revenue, profit, or reputation. The Snap Emporium shall not be liable for injuries caused by guest misuse of equipment, unauthorized handling of equipment, or failure to follow staff instructions. Nothing in this Agreement limits The Snap Emporium's liability for its own gross negligence or willful misconduct.
Force Majeure
The Snap Emporium is not responsible for failure to perform due to events beyond our reasonable control, including
acts of God, natural disasters, venue closures, power outages, or government action. We will make every reasonable effort to reschedule. If rescheduling within 90 days is not possible, we will refund amounts paid for services not yet performed, less a $100 administrative fee. The $100 booking deposit may be retained to covercosts already incurred.
Additional Terms and Conditions
Liability and Damages
Client agrees to take responsibility for any damage to the photobooth, props, or equipment caused by guests or other individuals at the event. In case of damage, the client will be liable for the cost of repair or replacement.
Use of Photobooth Images
We may photograph, film, or record guests during events. We will only use photos
and media for promotional purposes if the client has affirmatively opted in on the signed service agreement. If the
client does not opt in, no identifiable guest images will be used for promotional purposes without a separate written
release. We will never use identifiable images of minors for promotional purposes without explicit written consent
from a parent or guardian, regardless of the client's general consent selection.
Right to Refuse or Terminate Services
The Snap Emporium reserves the right to suspend or terminate services if any person at the event engages in abusive, threatening, unsafe, or unlawful conduct toward our staff or equipment. In the event of termination under this section, no refund will be issued and the Client remains responsible for all fees due under this Agreement.
Compliance with California Law
This agreement is governed by the laws of the State of California. Any disputes arising from this contract will be handled according to California legal requirements.
